Did you know that you can automate tasks that you perform on a regular basis in Outlook?
If you use Outlook 2010 or newer, you can take advantage of this feature. Quick steps can be used for repetitive tasks, like moving messages to folders, forwarding, or replying & deleting.
Anytime I get an email from John Smith with the subject line “order complete”, I want to move this email to a folder named “Completed Orders”. Let’s walk through how to create a quick step for this task.
With Outlook open, click on the Home tab. In the Quick Steps group, click on the “more” icon. It looks like a down arrow. Then select Manage Quick Steps.
In the Quick Steps box, select “Done.” Then click the Edit button. The default settings mark the email complete and read. Under the “move to folder” box, select the folder the email should be moved to.
Click Save. Click OK.
That’s it! The next time you receive an email from John Smith, select the Done icon from the QuickSteps menu.
